The three meeting scheduling systems – PSA, Reverse PSA and One Click – can be customized to accommodate event-specific setup needs and preferences.
Most configurations can be set or toggled on/off under Event Configuration -> Meetings.
In this article, we explain how you can configure the basic settings for Networking and Matchmaking on the Converve platform.
General Setup
In the backend go to Event Settings -> Event Configuration – > Meetings
You can configure the following general settings:
Enable matchmaking
True / False switch
This setting determines whether users can interact with each other at all. If set to “false”, users will not see the “Participants” menu item, cannot view the participant list, and will be unable to request meetings or send messages—even if those functions are technically active.
If the setting is “true”, users will see the participant list and automatically gain access to their personal agenda.
Whether users can request meetings or send messages depends on the specific settings for these functions and the configuration of the Meeting Matrix.

User access to agenda
True / False switch
This setting is only available when Enable Matchmaking is set to “false.”
If this setting is set to “true,” users can access their personal agenda even when matchmaking is disabled.
For example, to block timeslots or view and manage already scheduled meetings.
Option to Request meeting
True / False switch
This setting determines whether users are generally allowed to send meeting requests to other users.
Whether the “Request Meeting” button is visible in the participant list and on user profiles also depends on the settings defined in the Meeting Matrix.

Waiting List Limit
Free numerical input
This setting defines the maximum number of meeting requests that can be on a user’s waiting list.
Input “0” means there is no limit.
To activate the Waiting List, please contact your Converve Project Manager.
The Waiting List allows users to send a meeting request to another user even if there are no overlapping available time slots.
The recipient will then be informed that someone is interested in meeting them and can choose to send a request themselves if a time slot becomes available.
Location Setup
In the backend go to Event Settings -> Event Configuration – > Meetings
You can configure the following settings regarding the location setup:
Book meeting on stand
True / False switch
This setting determines whether meetings take place at a company’s booth.
If set to “true,” the booth will be used as the meeting location—even if meeting tables are available. This requires that the “Booth Number” field in the company profile contains a valid value.
If set to “false,” the meeting will take place at a table.
User Influence on Schedule & Meetings
In the backend go to Event Settings -> Event Configuration – > Meetings
You can configure the following settings regarding the influence users have on their personal agenda:
Requestee can Accept/Decline meeting requests
True / False switch
This setting determines whether users can accept or decline meeting requests.
If set to “false,” meeting requests are only stored in the system and must be processed by the event admin. This setup is typically used for the One-Click System when the organizer or the project manager use the Converve system to automatically generate the meeting agendas.
If the setting is “true,” meeting requests are forwarded to the user, who can then accept or decline them.
Move meetings & meeting requests
True / False switch
This setting determines whether a user can reschedule a meeting that is already in their agenda to another time slot during which both meeting participants are still available.
Cancel meetings & meeting requests
True / False switch
This setting determines whether a user can delete or cancel a meeting that is already in their agenda.
Option to block Timeslots
True / False switch
This setting determines whether a user can block a free meeting time slot in their agenda.
If a time slot is blocked, the user cannot receive any meeting requests for that slot.
Additionally, they will not be able to send meeting requests or register for sessions during that time.
Meeting Notifications
In the backend go to Event Settings -> Event Configuration – > Meetings
You can configure the following settings regarding the sending of meeting notifications:

Send Meeting-Request Notification
True / False switch
This setting determines whether a user receives an email notification when they receive a new meeting request.

Send Meeting-Request-Reply Notification
True / False switch
This setting determines whether a user receives an email notification when a meeting request has been accepted or declined.To learn how to customize the text of this email, please refer to the article, Automations.
Send Meeting-Moved Notification
True / False switch
This setting determines whether a user receives an email notification when a meeting in their personal agenda has been rescheduled by another meeting participant.

Send Meeting-Cancelled Notification

This setting determines whether a user receives an email notification when a meeting in their personal agenda has been cancelled.

Send Request Notification to Admins Email
True / False Schalter
This setting determines whether the event admins receive an email notification when a new meeting request is submitted on the platform.
Note: For events with a large number of participants, you will receive a high volume of emails through this setting.
